How We Calculate Party Drinks
The party estimate starts with the people who actually drink: total guests minus non-drinkers. Multiply that number by event hours and a pace factor, then add a 15% buffer so nobody runs out. Light drinkers get 0.75 drinks per hour, average crowds get 1, and heavy drinkers get 1.5. The calculator splits the alcohol total into beer, wine, and liquor using the same 48/27/15 split used for wedding planning.
Soft drinks and water follow their own rules because they are separate shopping categories. Soft drinks are estimated at 1.5 drinks per non-drinker per hour. Water is simpler: every guest needs about 0.5 liters per hour, whether they drink alcohol or not. This keeps the cooler stocked for designated drivers, younger guests, and everyone who wants to stay hydrated.
Signature cocktails add spirit-forward drinks on top of the base liquor count. When you turn that option on, the calculator adds extra cocktails to the total and the cost estimate rises with them. You can leave it off for a simple beer-and-wine event or turn it on for a party with a featured drink.
Non-Alcoholic Drink Calculator
Many party planners only think about alcohol, but the people who stay sober often decide whether the event feels comfortable. At a daytime BBQ, a graduation party, or a family gathering, a large share of guests may not drink: designated drivers, parents with young kids, teenagers, pregnant guests, and people who simply do not enjoy alcohol. If those guests only have water, they notice. A party that plans 1.5 soft drinks per non-drinker per hour and 0.5 liters of water per guest per hour feels thoughtful instead of an afterthought.
The difference between formal receptions and casual parties matters too. Weddings have a structured evening with toasts and dinner, so the bar is the centerpiece. Parties are often shorter, brighter, and more casual. A Saturday-afternoon BBQ can run for four or five hours in direct sun, which pushes everyone toward water and soda. Graduations mix teenagers and grandparents. Birthday parties can include children until early evening.
